How Xceltek keeps a three-office oral surgery practice in Eastern Oklahoma running
Eastern Oklahoma Oral & Maxillofacial Surgery treats patients from offices in Broken Arrow, Owasso and Muskogee. Each office runs on imaging, practice software and a shared server, so a slow workstation or a full drive means rescheduled surgeries. Xceltek handles the IT across all three, from CBCT installs to spotting problems before the practice feels them.
What did the practice need from IT?
Oral surgery is one of the most IT-heavy specialties in dentistry. Every office depends on CBCT and panoramic imaging, acquisition PCs tied to that equipment, practice management software and a server that holds years of patient images. Those images grow fast, and the equipment has to work the moment a patient is in the chair.
With three offices, the practice also needed one IT team that could support every location the same way, fix most problems remotely in minutes and send someone on-site when hardware needs hands.
What did Xceltek do?
Over the course of the relationship our engineering team has delivered a steady stream of projects alongside day-to-day support:
CBCT and imaging
Installed a new Carestream CS 9600 CBCT and handled on-site setup for a panoramic unit and its acquisition PC, working directly with the imaging vendor.
Server and storage
Built and maintains the practice server, and caught a storage shortage before it caused downtime. More on that below.
Workstation lifecycle
Replaced aging workstations in planned rounds instead of waiting for failures, and moved the practice from Windows 10 to Windows 11 ahead of end of support.
Network security
Deployed a new SonicWall firewall and keeps endpoints patched and monitored around the clock.
New office setup
Planned and set up the technology for a new office so it opened ready to see patients.
24/7 help desk
Staff call any time of day and a technician logs in remotely to fix the problem, usually right away.
What does proactive IT support look like day to day?
Our monitoring flagged that the practice server was close to running out of space. Instead of waiting for imaging to stop saving, the team emailed and called the practice manager, explained what was coming, designed a storage solution, sent an estimate and had the hardware ordered before the practice ever felt it.
"They saw that our server was just about out of space, sent us an email, called us, said, 'Hey, you're getting ready to have some issues,' and came up with a solution, gave us an estimate, and we've got it on order. So we appreciate them watching out for us."
Amy Russell, Practice Manager, Eastern Oklahoma Oral & Maxillofacial Surgery
"We can call them any time of the day and they can log in remotely and take care of the problem pretty quickly, if not immediately. It's a really great service to have right at your fingertips."
Amy Russell, Practice Manager
