What HIPAA actually asks of your IT
The HIPAA Security Rule does not list brands or tools. It lists outcomes, and it expects you to prove them. Here is what that means for a practice, clinic or health organization.
Know your risks
A written risk assessment covering every place patient data lives: EHR and practice software, imaging, lab systems, email, laptops, phones, cloud storage. Current, not from the year you opened.
Control who gets in
Each person gets their own login, access matches their job, and access ends the day someone leaves. Shared passwords are the most common audit finding.
Protect the data itself
Encryption on devices and in transit, backups that are tested, not just scheduled, and a way to tell who looked at what.
Be ready when something goes wrong
A plan for ransomware, a lost laptop or a flooded server room, with a tested path back to seeing patients.
The IT side of HIPAA, handled
HIPAA compliance has two halves. A compliance firm, such as our sister company Cytek or one you already work with, does the assessment, writes the policies, trains your staff and manages your BAAs. Xceltek is the IT side. We take their assessment and vulnerability reports, fix what they find, and run the technical safeguards every day so the next report comes back clean.

Talk to usHIPAA compliance services in Tulsa
Xceltek is headquartered in Tulsa and has supported Oklahoma healthcare providers since 2010. For Tulsa, Broken Arrow, Owasso, Bixby, Jenks and the surrounding area, that means a technician who can be at your office when a remote fix is not enough, and a team that already knows the local labs, imaging vendors, EHR resellers and internet providers.
For providers outside Oklahoma, the same work is done remotely, backed by our nationwide network of 4,000+ IT experts for on-site visits.
Why healthcare providers choose Xceltek for HIPAA
We sign the BAA
Every client gets a Business Associate Agreement from day one. If an IT provider will not sign one, they should not be touching your patient data.
Our own staff is HIPAA trained
The people on your helpdesk follow the same rules we ask of your front desk.
We work with your compliance firm, whoever it is
Many clients use Cytek for assessments, policies and training. Others already have a partner. Either way, we take their reports and do the IT work.
No long lock-in
Contract terms shorter than the industry norm, with a fair exit. If you leave, you get your passwords, documentation and data in full.
We call the vendors
EHR, practice software, imaging, lab interfaces, internet provider: we handle those calls so your staff does not have to.
HIPAA IT, answered
Do you sign a Business Associate Agreement?
Yes. We sign a BAA with every client before we touch patient data.
Do you do the HIPAA risk assessment?
No, and that is on purpose. The assessment should come from a compliance firm, not from the IT company whose work it grades. Our sister company Cytek does yearly HIPAA risk assessments, or we work with the compliance firm you already use. Xceltek takes the findings and fixes them.
Our compliance firm sent us a vulnerability report. Can you handle it?
Yes. This is the core of what we do. Send us the report, we fix the findings on your network and devices, and we document what changed so your compliance firm can close each item.
Does HIPAA compliant IT cost more than regular IT support?
Not by much, because most of it is good IT practice anyway: individual logins, encryption, tested backups and patching. What you are adding is the documentation and the proof. We price per device or per site, with no forced all-inclusive fee for smaller providers.
We are a small practice. Does HIPAA really apply to us?
Yes. HIPAA applies to any covered provider, from a single-provider office to a hospital system. Enforcement actions have included small practices.
Can you help with a HIPAA audit or a cyber insurance questionnaire?
Yes, for the IT questions: encryption, backups, patching, access control and monitoring. The policy and training questions go to your compliance firm, and we coordinate with them so the answers match.
Do you serve practices outside Tulsa?
Yes. We are headquartered in Tulsa, Oklahoma and support healthcare providers nationwide, with on-site visits through our network of 4,000+ IT experts.
